What's been happening this week at Schools Financial Services
27 January 2016
Information and details of what's been happening at Schools Financial Services.
The Budget Planning Software (BPS) has a Payroll Reconciliation that allows users to check the calculated employee costs against the actual from the costings report supplied by their payroll provider.
SPS Intepay have amended the KCC Payroll Summary report that they send to schools on a monthly basis so that the Oracle Assignment Number (OAN) provided includes a unique contract identifier (e.g. 123452, 123453 etc). This has enabled the BPS to treat each job role separately on the Payroll Reconciliation which will result in more accurate checking of employee expenditure by individual person as well as individual job role.
However, if the basic OAN (e.g. 12345) has been input into the Employee Scenario when uploading the report via the Payroll Reconciliation function, for the first time, any individuals with unique contract identifiers will appear on the exceptions report.
In order to rectify this, input the unique contract identifier (as per the payroll report) into the Job Payroll Number field (see Kent User Manual for details on how to do this) in the relevant Employee Scenario and reupload the payroll report. Once this has been completed, there should be no need to amend the Job Payroll Numbers on the BPS, unless the OAN numbers on the payroll report change.
If you require any assistance with this, please contact the Schools Financial Services Helpdesk on 03000 415415.
For any Kent maintained schools who have not yet returned the requested Budget Planning Software (BPS) Salary Information from April 2016, please can you do so by the deadline of Friday 29 January. This information is vital for ensuring the current pay scales/bands and increment dates applied to staff as well as any changes that you are planning to apply from the next financial year are set within the BPS.
Beginning next week, we will be sharing best practice and good financial management tips with you. Make sure you look out for these useful pieces of information.
Don't forget to follow us on Twitter @SFS_Kent for news, updates and info. We understand many primary schools cannot access Twitter so we will still be using KELSI and ebulletins to communicate information in addition to Twitter.
